What We Collect

• Identity and contact details: full name, WhatsApp number, TINs, and account type.
• SSP credentials: username and encrypted password when you choose to save them.
• Filing data: return figures, periods, draft returns, submitted returns, certificates, and confirmations.
• Conversation data: messages exchanged with FileBuddy for support, audit, and service continuity.
• Operational data: audit events, session state, billing records, client profiles, and service health.

Why We Process Data

We process your data with your consent and to perform the service you request: registering you, preparing and filing returns, obtaining documents, sending confirmations, sending opted-in reminders, billing, support, and compliance with record-keeping obligations.

Sharing

We share data only with ZIMRA/SSP when acting on your instruction, Meta/WhatsApp as the messaging transport, and essential processors such as hosting, database, and infrastructure providers. We do not sell your data.

Storage And Security

Data is stored in managed systems with access controls. SSP passwords are encrypted at rest. No internet-connected system is perfectly secure, and WhatsApp/internet transmission carries residual risk.

Retention

We keep data while your account is active and as required by law or tax-record obligations. Long-term storage of generated documents is opt-in unless required for audit or legal retention.

Your Rights

You may request access, correction, deletion subject to legal retention, and withdrawal of consent. Withdrawal may end the service where the data is necessary to provide it.

Reminders And Messaging

By using FileBuddy, you consent to service messages on WhatsApp. You can opt out of deadline reminders or stop entirely by messaging STOP.
